How to Book the McKinney Big Wheel
Planning a local event and interested in having the McKinney Big Wheel at your event? Follow the steps below to request a reservation.
1. Check the Availability Calendar
Before submitting your reservation request, please review the Big Wheel Availability Calendar.
Dates shown in red are not available.
A red date may represent:

A confirmed Big Wheel reservation
-
A date that has been blocked from booking
-
A past Big Wheel event
If your preferred date does not appear as unavailable, you may proceed with a reservation request.
Please note: An open date on the calendar does not guarantee availability. The Big Wheel is not considered reserved until your request has been reviewed and you have received official confirmation from the McKinney Big Wheel team.
2. Submit a Reservation Request
After checking the calendar, complete the McKinney Big Wheel Reservation Request Form.
Please provide complete and accurate information about your event, including:

Event name
-
Event location
-
Event start and end time
-
Organization or group name
-
Primary contact information
-
Any additional information that may help us review your request
One reservation request is required for each event.
3. We Review Your Request
Our Big Wheel team will review your request and respond within approximately 3–5 business days.
Submitting a reservation request does not automatically reserve the Big Wheel.
Please do not make plans based on the availability of the Big Wheel until you have received confirmation from our team.
4. Reservation Confirmation
Once your reservation has been reviewed and approved, you will receive confirmation from the McKinney Big Wheel team.
The event will then be added to the Big Wheel calendar and the applicable date or time will no longer be available for another reservation.
All reservations are subject to availability and the McKinney Big Wheel Terms & Conditions.
Complimentary Reservations
The Rotary District is entitled to two complimentary McKinney Big Wheel event reservations during the 2026–2027 Rotary year.
The complimentary reservation covers the Big Wheel reservation donation only.
A tow vehicle and qualified driver are not included. Transportation of the Big Wheel must be provided or arranged by the requesting organization in accordance with the Big Wheel Terms & Conditions.
District complimentary reservations:

McKinney Sunrise Rotary Club Complimentary Reservation
The McKinney Sunrise Rotary Club is entitled to two complimentary McKinney Big Wheel event reservations during the 2026–2027 Rotary year.
The complimentary reservation covers the Big Wheel reservation donation only.
A tow vehicle and qualified driver are not included. Transportation of the Big Wheel must be provided or arranged by the requesting organization in accordance with the Big Wheel Terms & Conditions.

To protect the privacy of our hosts and event organizers, only limited event information is displayed on the public calendar.
Contact names, email addresses, phone numbers, internal reservation information, and other private details are not made public.
The calendar is provided primarily to help prospective hosts identify dates that may be available before submitting a reservation request.

Big Wheel reservation donations benefit the McKinney Rotary Foundation, a nonprofit organization.
Funds raised through Big Wheel reservations help support local student scholarships and grants for nonprofit organizations serving our community.
When you reserve the Big Wheel, you are not only bringing a recognizable Rotary presence to your event—you are also helping Rotary continue investing in our local community.
